Responsibilities:
- Provide administrative support to ensure efficient operation of the office - Answer and direct phone calls, take messages, and handle correspondence - Greet visitors and direct them to the appropriate person or department - Maintain office supplies and equipment inventory - Organize and schedule meetings and appointments - Coordinate travel arrangements for staff members - Prepare and distribute memos, emails, letters, faxes, and forms - Assist in the preparation of regularly scheduled reports - Develop and maintain a filing system - Update and maintain office policies and procedures - Order office supplies and research new deals and suppliers - Maintain contact lists - Book conference calls, rooms, taxis, couriers, hotels etc.
- Handle sensitive information in a confidential manner - Take accurate minutes of meetings - Coordinate office procedures Requirements:
- Proven work experience as a secretary or administrative assistant - Familiarity with office organization and optimization techniques - High degree of multi-tasking and time management capability - Excellent written and verbal communication skills - Integrity and professionalism in handling confidential information - Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) - Strong attention to detail and problem-solving skills - Ability to prioritize tasks and work under pressure Note:
